280 - EXECUTIVE SERVICES - GENERAL


Records relating to the provision of various administrative services for the ministry executive (i.e., minister, deputy ministers, assistant deputy ministers and equivalent positions).  Those services include the preparation of replies for letters addressed to the executive, the preparation of executive briefing notes, and the collection of information on current executive issues.

Record types include paper and electronic correspondence and briefing notes.

NOTE:  Offices should file copies of the letters and briefing notes under the appropriate subject primary in ARCS or ORCS, if they add to the accuracy, integrity and completeness of that other file.

10y = This retention period for executive briefing notes, executive correspondence referral replies, and executive issue records is consistent with the retention period in the special schedule for executive records (102906).          
SR = The BC Archives will selectively retain executive briefing notes, executive correspondence referral replies, and executive issue records because of their significant evidential value.  This disposition reflects the disposition of the special schedule for executive records (102906).

A government archivist will select those files relating to significant operational and administrative decisions and actions.  All records covered by these secondaries that are not selected will be destroyed.

When boxing files, ministry/agency staff may assist in the selection process by identifying significant files on the accompanying file list.

         
NOTE: Executive briefing notes, correspondence referral replies, and issue records that are managed and maintained in designated non-executive offices must be scheduled in accordance with the OPR retention and final disposition in primary 280.  Those that are managed and maintained in executive offices must be scheduled in accordance with the special schedule for executive records (102906).  All other offices must use the non-OPR retention and final disposition in primary 280.
